Camp Policies

To provide an outstanding experience for each child attending camp, we maintain the following policies.

 

Reservations

  • Reservations must be completed by 5:00 PM one business day prior to attendance.
    • Reservations for Mondays must be completed by 5:00 PM the Friday prior.
  • All payment for registered camp days is due at time of reservation.
  • Online reservations follow the same policies as phone reservations.
  • Walk-ins will only be accepted on a space-available basis.

 

Cancellations/No-Shows

  • We understand that some circumstances will require a cancellation for scheduled camp days.
  • Cancellations must be made by 5:00 PM two days prior to scheduled attendance.
    • In this case, registrant will be refunded the full amount paid for days canceled, or:
    • Registrants may choose replacement day(s) off the Camp Calendar.
  • Cancellations after that time will be refunded 50% of the amount paid for days canceled.
  • No-shows (campers not present for their registered day/days) will be charged the full camp fee.

 

Inclement Weather

  • We appreciate your understanding, cooperation and flexibility with our inclement weather policy. Sundance is an alpine mountain environment and can experience a wide range of weather conditions in a short period of time. Generally these conditions cause little or no disruption to the Sundance Kids Camp.
  • Very rarely, weather conditions force the closure of camp. The following conditions will cause closure:
    • Rain that causes closure of Ray's Lift
    • Thunderstorms and lightning that causes closure of Ray's Lift
    • Wind that causes closure of Ray's Lift
    • Other unforeseen circumstances that may compromise the safety of campers
  • When, based on forecasts, closure appears imminent:
    • Camp Coordinator will call registrants scheduled to attend the next day's camp by 6:00 PM the evening prior to notify of possible closure.
    • By 8:30 AM the day of inclement weather, Camp Coordinator will call registrants with final decision.
  • When camp is closed due to weather:
    • Refunds will NOT be issued for camp closures due to weather.
    • Registrants may substitute any day on the Camp Calendar in place of the day canceled.

 

Lunch at Kids Camp

  • The Sundance Kids Camp supervises all campers during the lunch hour.
  • When registering for camp, you may purchase lunch for your child in lieu of packing a lunch for your child.
  • As with registration, lunch orders must be completed by 5:00 PM one business day prior to attendance.
  • If you pack a lunch for your child, we request that you refrain from packing any peanut products. This is to ensure the safety of children with allergies.
  • If your child has food allergies, please notify the Camp Coordinator so we may make proper accommodations.

 

Interpersonal Behavior and Disciplinary Procedures

  • Counselors and Camp Coordinator make every reasonable effort to ensure that campers have an enjoyable camp experience. We welcome campers of all moods, dispositions and temperaments. In this respect, some campers may require more assistance or guidance than others. To that end, counselors are trained to properly handle interpersonal issues between campers that may arise. To help prevent such occurrences, we ask the following:
    • Please ensure your child is capable of normal social interaction prior to registration.
    • So that we may make reasonable accommodations for all campers, please inform Camp Coordinator of any behavioral issues or disorders present in your child or children that may potentially affect other campers.
  • In the rare event that a camper misbehaves and detracts from other campers' experience, proper guidelines for discipline will be followed. These guidelines include the following:
    • The misbehaving child will be separated from the group and given an appropriate "time out".
    • Counselors will employ techniques to redirect improper behavior towards constructive and positive ends.
    • In the rare case that a camper becomes unmanageable, the camper will be separated from the group and placed under the supervision of the Camp Coordinator.
    • If the Camp Coordinator is unable to mitigate the behavior, the parent will be asked for either consultation or to collect the child.
    • When Camp Coordinator determines a particular situation necessitates disciplining a camper to a certain extent, a Disciplinary Action Form will be filled out and given the parent/guardian upon pickup.
    • Should a camper be involved in three separate incidents that warrant a Disciplinary Action Form, Sundance may exercise the right to refuse accommodating that camper for any further days. In this event, parent/guardian will be refunded any future days for which they have already registered the child.

 

Attending Camp

  • All campers are given sunscreen applications by counselors at least twice a day.
    • If you have a brand of sunscreen your child prefers or requires, please inform Camp Coordinator and send your child with the preferred brand.
  • Campers may ride the chairlift multiple times daily. This is necessary to gain access to many scheduled activities. To ensure a safe ride on the lift:
    • Counselors, Camp Coordinator and Lift Operators may make determinations to safely group campers on lift chairs.
    • Campers with experience riding lifts unassisted in either winter or summer may ride unaccompanied, unless Counselor, Coordinator, Lift Operator or Parent recommends otherwise.
    • Chairlift safety bar is used for all campers.
    • Embarkation and disembarkation from chairlift is supervised and assisted by Lift Operators.
  • All campers must wear sturdy shoes. Sandals/flip flops, "Crocs," and other flimsy shoes may fall off while riding the chairlift, hiking, wading, etc.
  • All campers should bring a water bottle.
  • Campers must be able to use the restroom unaccompanied.
    • In the case of a camper requiring assistance with a restroom issue, a counselor of the camper’s same gender will be available, under second adult supervision, to render such assistance.
    • Much of the day may be spent on the mountain away from nearby restroom facilities.
  • Please inform the Camp Coordinator of any allergies medical conditions that may require reasonable accommodation.
  • The Camp Calendar is subject to change as weather and circumstances dictate.
